Love letter vs. Newsletter

Love Letters Vs News Letters

Let’s say:

A Marketer is a Casanova who intends to court / pursue many girls at one time
Recipients are pretty girls who are targeted by the Casanova
Ebuzzzz is your Postmaster
Antispam Tools are the Guardians of the girls who filter the Love Letters and make sure only good Love Letters reach the girls
Spam Databases are Police Stations which keep the name lists of blacklisted Casanovas
An ISP is a Local Authority which takes actions to block blacklisted Casanovas, with reference to Police Stations (Spam Databases)

Before you (a marketer) successfully win the heart of a girl (close the sales), there are many processes involved during the transformation and one of the most basic but powerful weapons is writing Love letters (News Letters).

Stage 1
======

Tip 1: Shortlist your targets
You will need to collect your recipients’ addresses from a trusted source and make sure they are still active with correct spellings.

Scenario: If your brother who supplies you with the information simply collected unknown girls’ addresses from third party and give them to you, or the addresses he gave to you were actually his collection of addresses in the past 10 years,

How many of them do you think are still valid and active?

Tip 2: Respect the girls’ will
Blasting out newsletters without asking permission is like a stranger pushing Love Letters into somebody’s mailbox.
The recipient may open the first time out of curiosity but you can be sure that your next sending will be opened by a scavenger.

Scenario: Ask the permission politely from a girl to accept your Love Letters with smile.
Even if your writing is bad but I believe she will still give you a second chance.
If she rejects, just look for another girl to avoid her complaining to her Guardian or even worse…report you to the Police Station or Local Authority which will then blacklist your Postmaster (Ebuzzzz) and your mailing address.

Stage 2
======

Well done! You have got a group of girls’ addresses in your hand. It is time for you to find a Postmaster to help you deliver your Love Letters!

BUT, wait……

Tip 3: Don’t write your grandmother’s story or soccer news in Love Letters!
A newsletter is not simply an email that carries messages.
If it carries the wrong and unrelated messages with regard to what the recipient expects or is interested in, it will become a spam.

Scenario:
The same applies to Love Letters. It either falls into your girl’s hands with a smile or a dustbin with contempt.

Tip 4: Pronounce your girls’ names in Love Letters.
Always put your customers’ names in your newsletter greetings, eg: Dear Christine, it will attract their attention at first sign to continue to read what you have written inside.

Scenario:
Nothing is nicer than receiving a Love Letter that shows your name at the greetings.
It’s not only unique but it also shows your respect to them. (even if you send the same content to 100 girls at the same time).

Tip 5: Use same email address for your every sending.
If your newsletters always are sent out using info@domain.com then stick to it.
Please do not change the sender’s email address frequently and the worst is using company A email address to blast out content which belongs to company B.

Scenario:
When the Love Letters from your apartment unit address successfully pass though the girl’s guardian checking and get permission, why do you want to risk yourself again sending out from an unknown address?

Or even worse, from another state/country.

It doesn’t only put your Love Letters at risk but your dream girls may not recognize it is from you.

Tip 6: Don’t use common sentences.
If your newsletters contain those common spam keywords, then your newsletter content will get a high spam score as well.
It will increase the chances of your sending fall into Junk folder or Spam filtering.

Scenario:
Please don’t be lazy and use your own creativity! Who knows your girls may have sensitive guardians in their house.

If you just copy and paste those content from Wiki, the chance that you get caught will be high as well.

Based on the guardians’ experience after reading through every Love Letter that is sent to their daughters, keywords that you are writing in your subject and content preferably are not the same with those mails sent by other bad boys who they or their daughters dislike.

So, squeeze your mind and spend some time to think and design your phrases! It doesn’t only win your girls’ hearts but also get through their parents’ eagle eyes.

Stage 3:
=======

It is sad that your girls’ hearts change but with proper separation method, both of you can still be friends!!

Tip 7: A happy ending if love doesn’t happen.
If your recipients decide not to continue subscribing to your newsletters, give them a chance to unsubscribe by including an Unsubscribe Link inside your newsletters.

Scenario:
When your girl feels both of your fate has come to an end or she wants to receive Love Letters from another guy, forceful Love Letter sending will make the situation worse.

An option to let her temporarily stop to receive your Love Letters will be a win-win solution so that you can concentrate on other targeted girls or new ones while waiting for her to change her mind.

Tip 8: Review your Love Letter Efficiency
Set up Bounce settings to gather bounce back emails that are returned to you so that you can remove those addresses which are no longer valid or active and review/improve your Love Letter efficiency.

You will be more well prepared in your next round of sending.

Scenario:
“EVERY MASTER WAS ONCE A DISASTER” – Learning from mistakes will make a Casanova target better and better in future.

The total number of your prospective girlfriends may reduce after unsubscription and bounce back removal but it also gives you more understanding of how to get more and more of your dream girls (customers) in future and become more appreciative of the girlfriends (customers) you already have now.

If your Love Letters continue to cheer them up, who knows more girls will be looking for you automatically once you have a good reputation and image?


Summary

=======
Exabytes is just a Postmaster in a mass mailing sending. The address reputation of our post office (server) is important but the same applies to senders’ email addresses and their newsletter content as well.

Willingness of the recipients is also a very important element to keep a good and long term relationship among all parties, including spam database and ISP as well.

PBIM 2010

Since 1985, sport enthusiasts from all over the world have flocked to Penang yearly to participate in the grand scale marathon event – Penang Bridge International Marathon (PBIM).

Marked by the captivating sight of the sunrise as it reveals the panoramic view of the “Pearl of the Orient”, today, PBIM does not only attract the attention of serious runners but amateurs or even families who simply want to spend a fun and meaningful time participating in this enjoyable event.

Not wanting to miss out on the joy, this year Exabytes has again partnered with the Penang State Tourism Development, Cultural, Art and Heritage to make this event a jubilant one! Besides having a booth set up at the occasion, we have a very eye-captivating cartoon-like cutie backdrop standing at 6 feet for our upbeat marathon runners to take a few snapshots to freeze this very unforgettable moment.

EXABEES, mascot of our newly launched Instantwebsite.my can be seen accompanying the marathon runner in the backdrop while giving introduction to the places of attraction in Penang such as Komtar – the tallest building in Penang and Penang Bridge as well as PBIM logo to enhance everyone’s memorable experience on this beautiful island.

From 11pm onwards, as the atmosphere was getting hotter when more and more runners came in, we Exabees (Employees of Exabytes) had prepared 1500 units of plastic hand fans to give away to the marathon runners. 100 units of plastic hand fans were given out every hour starting from 11pm, to help the participants cool themselves down especially after sunrise. While many of you have expressed your gratitude to Exabees for the free plastic hand fans, we want to thank you all also for liking our hand fans! :-)

After that, it’s…. BISCUIT TIME! 6000 packets of biscuits of different flavors (lemon, mango, rich tea oat, kiam pia) complementary from Exabytes were waiting for the first batch of runners who arrived around 4.15am. To some Exabees, it felt like we were the Angels who gave away the biscuits to satisfy the hungriness among the people! Oops!

Sorry for getting carried away, but seeing the happy faces of the participants when receiving our biscuits was just too fulfilling to a lot of us. Furthermore, thanks to all the volunteer runners who helped us to distribute the biscuits at our booth to other runners and friends. Final report – 6000 packets of biscuits were up in 2-3 hours.


Before the post ends, in all sincerity, Exabytes would like to say a thousand thanks to all Organizing Committee members and the volunteers from within Exabytes who have worked so hard to make this event a successful one.

Last but not least, a very big Thank You to Exabytes’ CEO – Mr Chan Kee Siak for being with the team the whole night, working together with us and giving his 100% support nightlong. Although it was indeed a very exhausting overnight event, this is definitely one memorable experience to be cherished!

Much has been said about the great benefits of e-commerce or bringing conventional business online but the question of how to effectively promote one’s website is sometimes left unanswered in the minds of our valued customers. In view of this, Exabytes had organized a FB & Google workshop to share the secrets of “Effective Online Marketing” in Exabytes’ office training room.

However, response had been overwhelming before the event day itself which was 16 November, and thus we decided to change the venue of the event to a bigger place – Suntech Training Room. The 2 speakers who spoke for our 51 eager learners / participants were Vincent Cheng & Malcolm Chua

Speaker Vincent Cheng started by sharing with us how to dump conventional marketing strategies and getting into the strategies of Internet marketing to optimize our businesses or websites. He illustrated the conversion process of buyers, and how we could increase their interests. Not forgetting Facebook as one of the free and most powerful online marketing tools, Vincent also shared on how was used to generate more sales and attention besides promoting ourselves.

Subsequently, Malcolm Chua, our second speaker of the day then gave us some insights into SEO in the China market. In his speech, he touched on several subjects which always play in our minds such as how to pick a strategic domain name, the conventional website building process, getting onpage and off page link building, mobile search engine optimization as well as the secret tips and tricks into optimizing our websites in Search Engines.

Eventually, the day ended with a lot of us raising our questions to the speakers. Some of us even started to form a mini discussion group after the talk. Truly impressed by the active participation among audience, we at Exabytes are also thrilled to receive lots of positive feedback from the participants.

Selamat Hari Raya Haji!

There is a place in the world where Muslims who have the financial and physical capacity look forward to a visit and perform the Hajj once in a lifetime – the holy city of Mecca. Hari Raya Haji or Hari Raya Korban, the festival most grandly celebrated by Muslims besides Hari Raya Aidilfitri, is a festival which marks the end of a Muslim’s pilgrimage to the holy city of Mecca in Saudi Arabia. On this particularly special day, sheep, goats and cows are ritually slaughtered as sacrifice before their meats are distributed to the community, neighbours and relatives as a reminder to share one’s wealth with others.

Amidst the joyful celebration of this pilgrimage festival, Exabytes wishes all our Muslim customers and friends a Happy Hari Raya Haji!

The Brain of Exabytes – Research and Development Department

There are two male species in our office who seem to be always living in their own world, engrossed in the things they do and may not utter even a word in the whole working day. Immensely focused on their work, their eyes exude the highest power of concentration you have ever seen! Talking and cracking jokes with colleagues seem less important to them, for their major daily tasks are to communicate with the computer, try to understand the computer more, and further explore what computers and IT systems can do for Exabytes and its clients.

In this brand new month we are going to feature our R&D Department, which is often likened to the brain of Exabytes! Also referred to the scientists of Exabytes at times, our two R&D software experts in our Research and Development Department are Jackie Ho and Chris Lee. In addition, both of them are joined by a very young and studious trainee from USM (Universiti Sains Malaysia), Siou Fong.

The main man aka the captain of this department is our R&D Manager, MR Jackie Ho. Polite and soft-spoken, Jackie is maybe the most decent-looking guy I’ve ever met. However, when it comes to work, he is well-known for his farsightedness and the ability to look at things (eg. the process of a software development project) from different perspectives.

As the Manager of our R&D Department, Jackie’s major tasks are leading the R&D Department on both research and in-house software development. In addition, he is always on the lookout for IT solutions which have the potential to be included as part of additional services to our clients. In short, he is the main person in telling the company what additional services to provide to our customers in future.

Under his leadership, numerous products and software have been developed such as the famous Penang Bridge International Marathon Online System for the Penang state government and the Deferred Report Modules which is currently used by Exabees, just to name a few.

At work, Jackie enjoys doing research in the field of IT and constantly acquiring new skills and knowledge. His rule of thumb as a successful R&D person in IT is always enjoy working independently and being able to handle stress well.

Outside work, Jackie is an avid photographer. In fact, you can see him carrying his camera around at most of the company’s functions. Because of his keen interest in photography, Jackie has been our cameraman since the inception of Exabytes in 2001.

Another dedicated Exabee in the department is also one of the infamous workaholics of Exabytes, Chris Lee. Challenging himself is his hobby, and picking up new programming skills is his favourite pastime. Chris spends most of his time ‘chatting’ with his PC and has no qualm about reading the entire programming book before starting a new project. Outside work, this chap from Sarawak is a very talented sportsman.

However, even a tough guy has his soft spot, and in the case of Chris, it is his communication skills! Burying himself in numerous software development projects at the same time doesn’t worry him; meeting tight project deadlines doesn’t make him anxious. One thing that even himself admits needing further improvement is his skills in communicating with his clients effectively.

“Many people see programmers as people who just need to work with the PC without saying a word at work. Well, this is not entirely true. A programmer’s ability to understand the wants of his clients and the ability to explain clearly to his clients regarding the vital functions and unique features of his software is extremely important.” clarified Chris, our R&D Software Engineer.

Luckily according to Jackie, Chris has managed to improve his communication skills tremendously since he joined Exabytes. :)

Professionally, Chris believes that having the determination and persistency in learning new skills from scratch is of utmost importance to all software engineers. He also believes in having self-confidence when exploring new skills. Last but not least, a software engineer must also be very confident in his own finished software/system.

Next, is our intern from USM (Universiti Sains Malaysia), Miss Siou Fong. Although she has been with Exabytes for only 5 months, Siou Fong’s diligent and dedicated nature towards her work has gained compliments from both Jackie and Chris. At work, Siou Fong believes that one must always be willing to ask in order to improve his/her own knowledge.

So there go our scientists in the department of R&D! Always thinking ahead for the company and pondering on ways to streamline the company’s IT system, the duo’s duties are always challenging but fulfilling.

Financial Backbone of Exabytes – Our Finance Department

July 1st, 2010

This July, we are going to feature another department in Exabytes, as well as a special and important person behind it. Unlike the Customer Service Department which we presented to our readers on our blog last month (7 Adorable and Dedicated Angels Behind The Scene), this department only consists of 1 person. Yeah… make no mistake, there is only one person! But that certainly doesn’t make this department any less significant than other departments in Exabytes!

This long haired lass with an accountant look sits on the second floor of our office. Speaking of her nature of work, she is even more behind the scene than our ’7 Dedicated Angels’ in Customer Service Department for she doesn’t interact with any customer at all! Yet, she controls Exabytes’ financial pulse, monitors the company’s spending, and even gives the CEO her opinions and advice on all money related matters! Not only that, every single PO and single cent spent every day has no chance of escaping from her mighty eyes.

Yeah! Introducing our Finance Manager, Miss Siew Hoon. Ever since she joined the company, she has introduced several financial systems and plans which benefited the company greatly.

Siew Hoon, our Finance Manager is also a frequent visitor and keen shopper of Queensbay Mall, Penang. :-) Ask her the location of any shop in this massive shopping mall and she could tell you in no time as she knows them like the back of her hand. Frequency of visits: 7 times a week! But you could be terribly wrong if you think she is an extravagant shopper, for all she does in the mall was long hour window shopping! It’s never an easy task to convince her to part with her cash. And because of her thriftiness and perfect discipline with money, all of us at Exabytes have trust and faith in her for managing and spending our money wisely. :-)

At work, she is very sensitive to numbers and possesses an analytic mind. She places accountability as the most important attribute in her profession.

Last but not least, (someone has divulged this information to us) despite the sedentary nature of her job and her habit of eating around the clock, she never gets fat. Man! This is already making a lot of us jealous.

7 Adorable and Dedicated Angels Behind The Scene

2010 marks the 9th year of Exabytes since it was founded back then in 2001 by our CEO Chan Kee Siak. Nine years after the inception, we are still strong and solid as ever, thanks to all the fantastic support given to us by our customers!

Today, Exabytes consists of 52 members of staff and 7 departments. As our loyal customers, have you ever wondered who are behind the scene all these years, giving you various support 24*7 via email and phone?

With much anticipation and surprises, we want to dissect the Exabytes you know in front of you and give you a full introduction as to who and who are behind the scene of Exabytes.

Well, since there are quite a number of departments in the company, this month, allow us to start with…..

There is one special department at Exabytes, in which the staff spend half of their time puffing their noses and eating junk food and other sweet sweet confectionary. And when they are having their daily favorite feast or discussing fashion or beauty or something unrelated to work in the office (luckily outside office hours), no Martians dare to step into their territory as their place exudes too much of feminism vibe which would simply expel a Martian without much effort.

This department consists of 7 fine ladies (or Venusians), and NO single Martian. And in this small tiny version of the planet Venus in our Solar System, lives an ‘iron lady’ who would fight for food, protect her citizens (although there are only 6 citizens on this planet Venus), and step forward if she detects threats or invasions of any kind. Yeah… she is no other than the HEAD of CUSTOMER SERVICE DEPARTMENT, Miss Annie Ong!

Annie Ong, the chief of the Customer Service Department or more precisely known as the Customer Service Manager.

No one on this planet dares to ask her to ‘mind her own business’, as her major duty is to ‘mind everybody’s businesses’ in the Customer Service Department. Her duty as a Customer Service Manager includes overseeing the operation of the whole department, checking if all the tasks assigned to her fellow Venusians are completed on time and bringing food to reward them when overtime work is needed.
